INFORMATION

Last updated: 4 October 2026

Who is responsible

Paul Fong, trading as The STEM Coach, is responsible for the personal information described here. Contact hello@stemcoach.uk with questions or requests.

Information collected

Information may include parent, student and school contact details; student year group, subjects, learning goals, work and assessment results; enquiry correspondence; and booking, invoice and payment records. It comes from you, your parent or carer, or a school where sharing has been agreed. Only information relevant to the service is requested.

Why information is used

Information is used to answer enquiries, arrange and deliver tuition or consultancy, tailor support, communicate progress, manage payments and meet safeguarding and legal responsibilities. Contract is the basis for arranging and delivering services to the person booking them. Legitimate interests support responding to enquiries, supporting students and administering the business, with particular consideration for children’s rights. Legal obligations apply where the law requires records or disclosures. Optional publicity uses consent, which can be withdrawn.

Sensitive information

Please avoid sending medical or other sensitive information through the enquiry form. If information about health or additional needs is necessary to tailor support, its purpose and an appropriate basis, including a special-category condition, will be agreed before it is collected. Safeguarding information may need to be handled under the relevant safeguarding conditions rather than consent.

Microsoft 365 and service providers

Microsoft 365 is used for online lessons, email and student records. Lessons are not recorded. Information is accessible to Paul and, where necessary, providers supporting email, storage, website hosting or payments. Microsoft and other providers may process information outside the UK; details of locations and applicable transfer safeguards can be requested by email. Website hosting providers may process technical information such as IP addresses and access logs under their own notices.

Sharing information

Parents and carers are included in communications with students under 18. Information is not sold. Relevant information may be shared with a school where agreed, professional advisers where needed, or authorities where required by law or necessary to protect a child. A safeguarding concern cannot be kept confidential if doing so would put someone at risk.

How long information is kept

Enquiries are retained while being answered and while a reasonable follow-up or related complaint remains possible. Learning records are retained while support continues and afterwards only where needed for agreed follow-up, a complaint or a legal claim. Retention is assessed according to the purpose, sensitivity and any ongoing issue, and information is deleted when no longer needed. Tax records are normally retained for at least five years after the relevant 31 January Self Assessment deadline, and longer where HMRC requires it. Safeguarding records are considered separately, taking account of the child’s age, referral advice and legal requirements.

Your rights

Depending on the circumstances, you can request access, correction, deletion, restriction or transfer of your information, and object to processing based on legitimate interests. These rights are not absolute; some records must be retained or shared for legal or safeguarding reasons. Contact hello@stemcoach.uk. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint. No automated decisions or profiling are used to decide access to services.

Website enquiries

The enquiry form prepares a draft in your email app. It does not submit or store the form contents on this website. Your enquiry reaches The STEM Coach only when you send the email. See the cookie information page for website tracking details.
